CASSELBERRY CITY COMMISSION <br />Minutes of June 11, 2012 — Regular Meeting <br />Page 7 of 18 <br />H. Sole Source Purchase of Replacement Extrication Tools and Equipment <br />Introduction: Consideration for the sole source purchase of replacement vehicle extrication tools and <br />equipment in the amount of $99,825.80 from Rescue Systems Unlimited to replace aged and technologically <br />obsolete equipment currently in use within the Fire Department is requested. <br />Budget Impact: Funds to cover the purchase of Genesis Rescue tools and equipment from Rescue Systems <br />Unlimited in the amount of $99,825.80 were budgeted and are available in the Fire Department Equipment <br />Replacement Fund's Machinery and Equipment/Equipment Other Account (302- 0310 -522- 67.35). <br />Recommendation: The Interim City Manager, Fire Chief and Purchasing Agent recommended approval for <br />the sole source purchase of replacement vehicle extrication tools and equipment in the amount of $99,825.80 <br />from Genesis Rescue Systems. <br />I. Purchase of Motorola Replacement Communications Equipment and Related Budget <br />Amendment #12 -056 <br />Introduction: Consideration to amend the original budget for the purchase of specified radio equipment for <br />the Fire Department, and approve the purchase of the specified radio equipment in the amount of $291,249 and <br />related Budget Amendment #12 -056 is requested. <br />Budget Impact: Purchasing authorization for the amount of $291,249 to replace the Fire Department's <br />current aging radio equipment inventory with new digital capable radio equipment is requested. The <br />Assistance to Firefighter's Grant (AFG) will provide funding in the amount of $219,368. The required City <br />match ($54,842) plus the funds required to purchase next generation capable equipment ($28,950) is $93,792. <br />Budget Amendment #12 -056 will shift money from Fire Department operating accounts to pay forthe upgrade <br />— Acct. #001 - 0310- 522.52 -00 ($15,000) and Acct. #001 - 0310 - 522.12 -01 ($13,950). Funds for the City's grant <br />match ($54,842) are already available in Account #302 - 0310- 522.67 -35 in the Equipment Replacement Fund. <br />The Fire Department's scheduled CIP (Capital Improvement Program) item for radio equipment replacement <br />in FY2016 will be removed from the CIP due to the receipt of the grant and utilization of Federal funding to <br />meet this needed equipment replacement. <br />BA #12 -056 <br />Explanation of Request: This item seeks City Commission approval to provide funding for costs associated <br />with the purchase of specified radio equipment for the Fire Department associated with the Assistance to <br />Firefighters Grant (Project #AFG11) awarded in December Of 2011. Total grant revenue is $274,210 with a <br />20% City match. The Fire Department reviewed and has selected an upgraded portable radio to ensure <br />compatibility and utility of the radios with future upgrades and enhancements to be implemented with <br />Seminole County's radio system. This budget amendment will provide sufficient funding for the City to <br />execute a purchasing agreement reflecting the cost of upgraded models with Motorola Communications and <br />Seminole County government. <br />
