Resolution 07-1816 - Sole Source Purchase - Automated Agenda Processing <br />Software Solution and Related Budget Transfer <br />The City Clerk read Resolution 07-1816 by title as follows: <br />"A RESOLUTION OF THE CITY OF CASSELBERRY, FLORIDA, AUTHORIZING <br />THE SOLE SOURCE PURCHASE OF EASY AGENDA, AN AUTOMATED AGENDA <br />PROCESSING SOFTWARE SOLUTION FROM R & S INTEGRATED SERVICES, <br />INC.; PROVIDING FOR CONFLICTS, SEVERABILITY AND AN EFFECTIVE DATE." <br />Staff Presentation: Resolution 07-1816 authorizes the sole source purchase for the Easy <br />Agenda automated software to R & S Integrated Services, Inc. and approves a budget transfer in <br />the amount of $27,590. Automation of this process will save significant amounts of staff time in <br />all departments and will provide public access to the agenda packets via the City's website. The <br />ultimate goal of a paperless agenda will not only help enhance staff time, but the savings in paper <br />alone, between 10 - 20 reams per meeting, was well worth the investment. <br />Staff Recommendation: Approval of Resolution 07-1816 as presented. <br />Audience Input: <br />1) John Casselberry, 700 S. Lost Lake Lane, Casselberry, Florida, recommended the City <br />shop around before locking into one system. <br />MOTION: Moved by Commissioner Colleen S. Hufford to approve Resolution <br />07-1816, Automated Agenda Software, as presented. Motion was <br />seconded by Vice Mayor/Commissioner Susan Doerner and carried <br />unanimously on a 5 - 0 vote. <br />12. Other Items - None <br />13. Discussion Items - None <br />14. City Manager's Report <br />• Reported that the City was recruiting for an individual, preferably with a strong financial <br />background, for appointment to the Casselberry Police Officers; and Firefighters' <br />Pension Board of Trustees. <br />• Requested that each Commissioner submit two names for appointment to the Charter <br />Review Committee; total of 10 members for the Committee. Names should be submitted <br />to the City Manager by September 4, 2007. Ms.Marilyn Crotty of the Institute of <br />Government will act as facilitator for the Committee, which Committee will be staffed by <br />the City Clerk's Office. <br />• Attended the Mayor/Manager Meeting last week - main topic was subcommittee for <br />media campaign relating to the property tax issue scheduled for the January 29, 2008 <br />Ballot. <br />• Requested guidance on the proposed civic center/downtown center project. The Steering <br />Committee for the City Center stated that the proposed RFQ is ready to be put out for bid. <br />
