3.3 Only their City e-mail address will be used on City documents, business cards, <br />publications and the City's official website. <br />3.4. Elected Officials may not delete e-mail messages which constitute public records in <br />their possession or control. This includes e-mail messages received or created from <br />their personal e-mail address in connection with official City business, until they are <br />moved or copied to the Elected Official's City e-mail address and stored on the City's <br />email server. Once the Elected Official has verified that any moved or copied e-mails <br />are located on the City's e-mail server, they may delete the subject messages from <br />their personal e-mail accounts. <br />3.5 The City Clerk shall determine the retention and be responsible for the systematic <br />disposition of the Elected Officials' e-mail messages contained on the City's server, in <br />accordance with state law. <br />June 23, 2008 <br />
